Booking Procedure

Once you've chosen the trek you'd like to join, you can book it directly through our website. The information below explains how the booking process works, when payment is required, and what we'll need from you before your trip.

Submitting Your Booking

Open the page of your chosen trek and click Book This Trip.

Select your preferred departure date and the number of travelers, then complete the booking form with your name, email address, country code, and your phone number or WhatsApp number.

If you've already booked your flight to Nepal, you can include your arrival details in the booking form. If airport pickup is included in your package, we'll use this information to arrange your pickup. You can also let us know if you have any special requests or if there's anything you'd like us to know before your trip.

Before you submit your booking, please check that all the information you've entered is correct and read our Terms & Conditions.

Booking Confirmation

A 10% deposit is required to confirm your booking.

Once we've received your booking request and deposit, we'll send you a booking confirmation by email. After that, we'll begin arranging your trekking permits and the services included in your trip.

Payment

The remaining balance is paid after you arrive in Kathmandu and before your trek begins. We accept major credit and debit cards, bank transfers, cash payments in Nepal, and other supported online payment gateways.

If you'd like to pay by bank transfer, just let us know and we'll send you our bank account details. Any charges applied by your bank or payment provider are the responsibility of the sender.

Information We'll Need

After your booking has been confirmed, we'll ask you to send us a clear copy of your passport. We'll use it to apply for the trekking permits required for your trek.

If airport pickup is included in your package, we'll also ask you to share your flight arrival details before you travel to Nepal.

If we need anything else before your trip, we'll get in touch with you.

Cancellation Policy

This section explains how cancellations, changes, postponements, and refunds are handled by Nepal Trekking Routes. If you need to cancel or change your booking, please contact us by email.

Cancellation by the Client

If you need to cancel your booking, please send us an email in writing. We only treat a booking as cancelled once we receive your request.

Refunds are handled like this:

  • More than 30 days before departure: Your 10 percent deposit will be refunded after deducting any bank fees, payment charges, and any permit or booking costs already paid on your behalf
  • 15 to 30 days before departure: You will receive a 50 percent refund of the total trip cost
  • 7 to 14 days before departure: You will receive a 25 percent refund of the total trip cost
  • Less than 7 days before departure or no show: No refund will be provided

Changes to Your Booking

If you want to change your travel dates or itinerary, contact us as early as possible. We will try to adjust your booking depending on availability.

If changes lead to extra costs such as permits, transport, accommodation, or other services, those costs will be paid by the client.

Trip Postponement

If you cannot travel due to unexpected reasons, you can ask to postpone your trip.

Whenever possible, we will move your booking to another departure date within 24 months of your original booking. If prices for permits, transport, accommodation, or services change at the time of rebooking, the difference will need to be paid.

Cancellation by Nepal Trekking Routes

In rare cases, we may need to cancel a trip because of situations beyond our control. This includes natural disasters, government restrictions, political issues, severe weather, or other force majeure events.

If this happens, we will give you options depending on the situation. You may move your booking to another date, choose a different trek of equal value, or receive a refund for any services not already paid to third party providers.

We are not responsible for costs outside your booking with us. This includes international flights, visa fees, travel insurance, or any other personal expenses.

Refund Process

If you are eligible for a refund, we will process it within 15 to 30 business days. Refunds will be made through the original payment method when possible.

Bank charges, payment gateway fees, and currency exchange differences may be deducted from the refund amount.
